What the Hell Do People Mean by "Systems"?

Every guru online says, "You need systems."

And I'm sitting there thinking - what is this, a vending machine?

That's when it clicked. That's exactly what it is.

You build a vending machine once, stock it, and it serves customers automatically. You don't stand there handing out chips one by one.

A business system works the same way. You build the process once, and it delivers results over and over again.

Examples of business systems

A system can be:

  • A lead-capture funnel - landing page → form → automated follow-up email → booked call. You set it up once. It runs while you sleep.
  • A content engine - one batch shoot per month → cut into 30 pieces of content → scheduled to post automatically. You film once, you're visible for 30 days.
  • An onboarding flow - every new client gets the same welcome email, contract, intake form, and kickoff call invite, automatically. No more "did I send that yet?"
  • A reporting dashboard - every Monday, the same numbers land in your inbox without anyone touching a spreadsheet.

Why most owners never build them

Because building a system is annoying.

It takes longer than just "doing the thing one more time." So you keep doing the thing. And then you do it again. And again. And six months later you're the bottleneck for your own business - because you never built the vending machine.

The fix

Pick one repetitive thing in your business this week. Just one. Something you do over and over.

Now ask: what would the vending-machine version of this look like? Build that. Even a clumsy v1.

Multiply this over a year and you stop being a person doing tasks. You start being someone running systems. That's how scale happens.
